How can I use AI to answer customer emails faster

Use an AI writing assistant built into your inbox, like Gemini in Gmail or Copilot in Outlook, or paste the email into ChatGPT or Claude and ask for a reply draft. Feed it your common answers, like pricing, policies and hours, so drafts come out accurate. Then review and edit each draft before you hit send. Most small businesses cut reply time a lot this way without sounding robotic.

Start with your repeat questions. Most customer inboxes are 70-80% the same handful of questions: shipping times, refunds, pricing, appointment changes. Write a short answer bank of 10 to 20 approved responses in a doc. When a new email comes in, paste the customer's message and the relevant answer into your AI tool and ask it to write a friendly reply that fits this specific customer. You get a personal-sounding email built on facts you already approved. To keep your voice, give the AI a style note once and reuse it. Something like: 'Write in a warm, casual tone, short paragraphs, sign off with my first name, never promise refunds without saying I will check first.' Save that as a custom instruction in ChatGPT or Claude, or keep it in a note you paste at the top of each request. That one habit fixes most of the stiff, overly formal drafts people complain about. If you live in Gmail or Outlook, the built-in assistants save the copy-paste step. Gemini in Google Workspace and Microsoft Copilot can read the thread you're looking at and draft a reply in place, and both let you tweak the tone before inserting it. For grammar polish on anything you write yourself, Grammarly works across most email clients. A few ground rules keep you out of trouble. Always read the draft before sending, because AI will confidently invent details like order numbers or delivery dates if you don't give them to it. Don't paste sensitive customer data such as card numbers or health info into tools your business hasn't approved. And track what still takes you the longest: if the same tricky question keeps showing up, add a clear answer to your answer bank so the AI can handle it next time.
